1. Services Provided
Scholar Vanguard offers virtual and in-person academic instruction including small cohort group classes, signature programs, Scholar Intensive one-on-one sessions, educational consultations, academic assessments, and digital educational products. All live instruction is delivered via Google Meet unless otherwise stated. In-person sessions include a $15 flat travel fee.
2. Enrollment and Payment
Enrollment is confirmed upon receipt of full payment or the first installment of a payment plan. Scholars are not guaranteed a seat until payment is confirmed. Monthly group class enrollment is due by the 1st of each month. Weekly subscription enrollment is due each week. Payment is accepted via Stripe, Cash App, and Venmo for select transactions. All prices are in USD.
3. Cancellation and Refund Policy
Group Classes (Monthly): Fees are non-refundable once the billing period has begun. To cancel future billing, written notice is required at least 7 days before the next billing date to hello@scholarsvanguard.com.
Signature Programs: Cancellations more than 14 days before start receive a full refund minus a $50 administrative fee. Cancellations 7 to 14 days before start receive a 50 percent refund. Cancellations fewer than 7 days before start are non-refundable. No refunds after a program has begun.
Scholar Intensives and Consultations: Appointments canceled at least 24 hours in advance may be rescheduled at no charge. Appointments canceled with less than 24 hours notice or missed without contact will be charged in full.
Digital Products: All sales are final. No refunds are issued once a file has been delivered.
4. Class Cancellation by Scholar Vanguard
If a scheduled group class session is cancelled by Ms. Merriweather, each enrolled scholar receives one free 30-minute Scholar Intensive session to be used within 7 days. Scholar Vanguard reserves the right to reschedule sessions due to illness, emergency, or unforeseen circumstances.
5. Universal Support and Accommodation Statement
Scholar Vanguard utilizes trauma-informed best practices to support all learners, including those who are neurodivergent. We believe the most effective IEP and 504 accommodations are best when written directly into the standard operating system because all students benefit from them. While Scholar Vanguard is a private supplementary program and does not legally execute district IEPs, our foundation is built on micro-chunking, clear visual structure, and responsive pacing to ensure every scholar has access to rigorous material.
6. Mandatory Reporting Policy
As a licensed educational professional, Ms. Merriweather is a mandated reporter. If there is reasonable cause to suspect that a scholar is experiencing abuse or neglect, Scholar Vanguard is legally required to report this information to the appropriate state authorities.
7. Communication Boundaries
To ensure the highest quality of instruction during the day, direct communication is structured and protected. All billing or enrollment disputes must be submitted via email. Phone calls and text messages will be answered during standard business hours. No calls or text messages will be answered or returned outside of the hours of Monday through Friday, 9:00 AM to 11:00 AM Eastern Time.
8. Technology and Portal Fee
A nonrefundable technology fee of $25 is applied to all program enrollments. This fee covers secure access to the Scholar Portal, licensing for digital curriculum materials, and administrative maintenance of the learning platforms.
9. Media, Recording, and Liability Policy
For the safety, security, and administrative protection of both the educator and the scholars, all live Scholar Vanguard sessions are recorded. These live recordings are strictly for internal administrative and liability files and will not be published, distributed, or shared publicly. By enrolling, parents consent to their scholar being recorded for these internal safety purposes.
To protect the privacy of all cohort members, parents and scholars are strictly prohibited from recording, screenshotting, or distributing any part of the live sessions. If a scholar is absent, they will not receive the live recording. Instead, they will be provided with an AI-generated instructional video of the lesson slides to cover the academic material missed.
10. Academic Guarantee Disclaimer
Ms. Merriweather is deeply committed to doing everything within her power and expertise to support scholars in reaching their academic goals. Scholar Vanguard delivers rigorous instruction designed to build academic stamina, critical thinking, and advanced skill. However, Scholar Vanguard does not legally guarantee specific letter grades, standardized test scores, or admission into private schools. Exceptional academic growth is a partnership that requires active participation, attendance, and consistent effort from the scholar.
11. Intellectual Property and Licensing Protection
All educational materials, including the Vanguard Method, the PILOT AI Framework, anchor charts, and curriculum documents, are the exclusive intellectual property of Ms. Amber Trishawna Merriweather and Scholar Vanguard. These materials are provided solely for the personal use of the enrolled scholar. They may not be copied, reproduced, distributed, sold, or utilized by other educators or organizations without explicit written permission. Licensing options for schools and educators are available at license.scholarsvanguard.com.
12. Financial Obligation Upon Dismissal
If a scholar is dismissed from a program at Step 5 of the Restorative Behavior System, the family remains financially responsible for the agreed tuition. For signature programs and cohorts, no refunds will be issued, and any active payment plans will continue to be billed until the balance is paid in full. For monthly subscriptions, the current billing cycle will not be refunded, and the subscription will be canceled prior to the next month. Scholar Vanguard does not absorb financial loss due to a scholar violating conduct standards.
13. Returning Enrollment After Dismissal
A scholar dismissed from a group program may not immediately return to another group class. To return to Scholar Vanguard, the family must first book and complete a paid one-on-one Scholar Intensive. This allows Ms. Merriweather to assess the current readiness of the scholar to re-enter a collaborative environment. Re-admittance to future group cohorts is strictly at the discretion of Ms. Merriweather.
14. Outside Communication Liability Waiver
Any exchange of contact information between scholars requires mutual written consent from parents or guardians, facilitated by Ms. Merriweather. Once information is exchanged, Scholar Vanguard and Ms. Amber Trishawna Merriweather are completely released from any liability and are not responsible for any communication, interaction, or events occurring outside of official monitored sessions.
15. Governing Law
These Terms of Service are governed by the laws of the State of Michigan. Any disputes arising under these terms shall be resolved in the courts of Wayne County, Michigan.
